Step 1 - Configuring your AI24F/A103F Terminal

Created by Dave McMaster, Modified on Mon, 16 Jun at 10:18 AM by Tony Mcdonough

Introduction

There are a number of different terminal combinations available depending on which features you required but the basic terminals  are based on two models, the A124F and the A103F. They look different and have different features, but they do have similar menu structures. So for setup purposes the instructions are the same. As you can see below the back plates also look and secure slightly differently.

Powering the Clock

The clock has a standard UK Plug, this will need to be plugged in and powered on continuously. If the clock has no power, users will not be able to clock in or out, and the device may eventually lose track of the Time & Date.

Connecting the Clock to Your Network

We always recommend using a network cable for a stable connection, if possible.

Ethernet

To be able to retrieve data from the clocking machine over the network, the clock should be plugged into your network using an ethernet Cable at the rear of the terminal. The ethernet cable should be connected to your network and not your computer. Employees can clock in and out without it being connected to the network, but it will lose the following capabilities:

  • Automatically setting the time on the clocking machine to the same time that is on your computer.
  • The ability to collect data at the click of a button.

Wi-fi

If you can’t use a network cable, then wi-fi is an alternative. Just make sure that you have a strong wi-fi signal at the terminal.

Also please note that only 2.4Ghz wi-fi is supported.

If you want to connect by wi-fi, follow these steps.

Firstly, log into the terminal as an Administrator.

Next tap on Comm set.

After this, tap Wi-fi and then tap search to find available wi-fi connections.

Choose the desired connection. TIP: Ensure that at least 4 green bars are displayed to avoid connection problems.

After this type in the wi-fi password and tap OK.

TIP: Touch 'Alt' to switch between capital or small letters or numbers. When finished tap Ok to save.

If you need to type in special characters, when the input method is in capital or small letters

tap to select what you want to input. The first option is space, the second is dot, and so on.

Obtaining your PC or Server IP Address

You need some information from you PC or Server (whichever place you will install and run the software from) to enter into the clock. So jump onto the PC or Server and follow these instructions:

  1. First, open the Start menu on your computer. You can do this by clicking the Start button in the bottom left corner of your screen, or by pressing the Windows key on your keyboard.
  2. Once the Start menu is open, type "Command Prompt" into the search bar at the bottom. You should see an option for Command Prompt appear in the search results.
  3. Click on the Command Prompt option to open it. A black window with white text should appear on your screen.
  4. Now, you need to find out which network adapter your computer is using to connect to the internet. To do this, type the following command into the Command Prompt window: ipconfig
  5. Press the Enter key on your keyboard. You should see a bunch of information appear in the Command Prompt window.
  6. Look for the line that says "Wireless LAN adapter Wi-Fi" or "Ethernet adapter Ethernet" (depending on how you're connecting to the internet). The IP address listed next to this line is your computer's internal IP address. It usually will start with 192.168 or 10.
  7. Write down or remember the IP address that you found.

Mounting your Clocking Machine to The Wall

We strongly advise that you mount your clock on a level wall before attempting to enrol anyone. You should choose a position that is not affected by great variations in lighting or direct sunlight on the screen. You will receive a bag with screws, wall plugs and small mounting screws for the back plate (2 mounting screws for the A103F and 1 mounting screw for the A124F).

  1. Mount the backplate on the wall using the screws provided (around 140 cm from the floor is normal).
  2. Plug in both the Power Cable and Ethernet Cable.
  3. Put the clocking machine on the wall plate and tighten the screw(s) from the bottom.
  4. Ensure that the Clocking Machine is fixed in securely.

Accessing the Terminal

  1. Once the terminal has powered up fully tap the screen in the centre twice to bring up the ‘settings cog’ on the bottom of the screen.
  2. Tap the ‘settings cog’ and an icon ‘Manager?’ will appear.
  3. Tap the screen in the centre again to bring up a ‘padlock’ icon.
  4. Tap the ‘padlock’ icon and enter the user id – ‘7856’ & ‘OK’.
  5. Then enter the password – ‘7856’ & 'OK'. This will then give you full access to the menus.

Adding the Server IP to the Clock

You need to know the PC or Server IP Address to be able to connect to it from your computer and to be able to download data, so hopefully you have followed that step, If not go back to that section. You will also need to be logged in as an Administrator on the clock to access any settings so ensure you have followed the steps in those sections first.

  1. From the Main menu tap 'Comm set'.
  2. Followed by 'Server.
  3. Next tap 'Server IP'.
  4. In the box type in the IP address that you got from your PC or Server & tap 'OK.
  5. Tap 'BACK' twice to the main menu.

Adding a User

The first step in enrolment is to add a user. After a user has been set up the option to upgrade their privilege to either 'Admin' or 'Sup.User' can be selected. This will be further explained in the section Setting up an Administrator.

  1. From the main menu tap 'User Mgt'
  2. Next tap 'Add user'. The next available ID will be displayed, which will be referred to in the software.
  3. Tap in the Name box and input the staff name if required. Tapping the 'Alt' key will change the letter/number options. as required. Tip: If you have many employees to enrol you can speed up the process by using a number, such as their payroll number. You could even leave this field blank and only the ID will show when the staff member uses the terminal. Remember, it is only the ID that the software uses.
  4. Once the name has been input tap 'OK'.
  5. A Department box can be filled in if desired.
  6. Next tap 'Add User' and then choose either Face Fingerprint, Card or Password as the clocking method.
  7. Follow the onscreen prompts for each input method. Please note if you are using cards or fobs then be aware that each one has a unique 10 digit code (stamped on). This number will not be used in the software, but only by the terminal to correspond to a member of staff's ID. Present each unique card or fob to the terminal when requested to register.
  8. Once Complete press the back button to the 'User Mgt' screen. The default enrolment will be as a standard user.

To set up admin rights please see the next section 'Setting up an Administrator'.

We strongly recommend that you keep the default admin '7856' so that accidental lock out of the terminal can be avoided and to enrol at least one more supervisor with admin rights with either face, finger card or password. To do this follow the next step 'Setting up an Administrator'.

Setting up an Administrator

  1. From the 'User Mgt' screen tap 'User View' and then tap on the appropriate user to set up as Admin.
  2. Tap in the box next to 'Privilege' and set to either 'Admin' or 'Sup.User'. Note that an 'Admin' will have full access to all settings while a 'Sup.User' will only have access to the User Management options. Also please note that a 'Sup.User' cannot enrol another staff member above 'Sup.User' level.
  3. Once set up you can back out to the 'User Mgt. menu and continue enrolling staff or back out to the home screen.

Clocking Machine is now configured

The clocking machine is now installed and you are ready to move onto the next section. If you need any assistance you can open a ticket at https://support.clockingsystems.co.uk, alternatively call 0113 258 7856 to book in a full install and training session.
