Using the Timesheet in Evotime

Timesheets in Evotime allow you to view and manage employee clockings and work totals. You can access timesheets in two ways:

  • Navigate to Reporting → Timesheets
  • Find an employee in the System Overview and click on their entry

1. Navigating Timesheets

Once inside an employee’s timesheet:

  • Hover over their name to see additional details.
  • Click their name to switch to another employee’s timesheet.
  • Use the arrow buttons next to their name to navigate between employees.

By default, the timesheet displays the current week or month based on the employee’s pay period. You can adjust the date range using:

  • Arrow buttons next to the "Date" header
  • Custom date range picker for a specific period


2. Timesheet Options

In the top right corner, you’ll find several options to customize your view:

Calculation

Defines how clockings and totals are displayed:

  • Original – As recorded by the clocking machine or first entered manually.
  • Actual – After manual adjustments.
  • Rounded – After shift rules (such as rounding or break deductions) are applied.

Display

Choose how totals appear:

  • Hours and Minutes format (e.g., 08:30)
  • Decimal format (e.g., 8.5 hours)

Archived Data

View deleted clockings with or without current data.

Export

Download the timesheet as CSV or PDF, with options to hide unnecessary details for a cleaner report. This is useful for:

  • Discussing absences or lateness with employees
  • Completing missed clockings

For bulk exports across multiple employees, use Payroll Output → Report Builder.


3. Managing Clockings

Under the Clockings section, you’ll see:

  • Clocking entries for each date, showing direction (IN/OUT) and the machine used.
  • Expected clockings if the employee follows a shift schedule but hasn’t clocked in yet.

Editing Clockings

  • Click on a clocking entry to adjust the time.
  • If viewing Rounded times, remember the displayed time may differ from what you enter.
  • Use the + button to add additional clockings—there’s no limit per day.


3.5. Nightshifts

For employees on night shifts:

  • Clockings appear on the same day as the shift (marked with a ? icon), even if they occurred after midnight.
  • To view actual clocking times, switch to actual mode.
  • If adding a nightshift clocking, enter it on the actual day it was made—Evotime will automatically assign it to the correct shift.

Shift Balancing & Nightshifts

  • With Shift Balancing → Clockings shift forward to the next day.
  • Without Shift Balancing → Clockings move back to the previous day.
  • Mixing both settings can lead to unexpected results and is not recommended.


4. Status, Warnings and Leave

Employee Status

Evotime tracks an employee’s status based on their last clocking:

  • Present – Clocked in but not out.
  • Expected – Scheduled to work but hasn’t clocked in yet.
  • Clocked Out – Completed their shift.
  • Unexpected – No shift scheduled.
  • Leave – Approved time off.
  • Absent – Did not show up for their scheduled shift.
  • Forgotten – A clocking is missing from a past day.

Warnings

Alerts help identify potential issues in clockings:

  • Late – First clocking was later than expected.
  • Early Out – Clocked out before the scheduled end time.
  • Over Break – Took a longer break than allowed.
  • Early Break – Took a break before the expected time.
  • Forgotten – A required clocking is missing.


Leave will also be displayed in its own leave cell allowing you to hover over to see the specific amount in hours and pay rate.


5. Breaks

Breaks are categorized based on shift rules:

  • Paid Breaks – Counted as work time.
  • Unpaid Breaks – Automatically deducted based on shift settings.
  • Clocked Breaks – Time when an employee manually clocked out for a break.

7. Totals & Pay Rates

On the far right, you’ll find total working hours, categorized by:

  • Different pay rates (e.g., regular, overtime) based on shift rules.
  • Leave taken during the period.

At the bottom right, you can view period totals for the selected date range.
